Data Extract

The Data Extract tab is available to Administrators, and an add on feature required to be activated.

 

  1. From the Start page, select Reports then select Data Extract.
  2. Click Application Extract to display the filters.

  1. Click the name of the extract you wish to use then select your filtering criteria.
  1. The maximum date range is 1 year. If you want to use data across 2 years you will need to run 2 extracts.

  1. To return to the full list of extracts click the extract again.
  1. Export to Excel by clicking Click here to Generate XLSX Report.

Depending on your web browser, you will be prompted to either open or save the file.

When the data extract file is open in Excel you can copy and paste the results into one of the EasyCruit supplied pre-configured template charts or into your own custom made chart.

  1. For advanced reporting needs, you can schedule extracts to be saved to your FTP. Please contact your consultant for more details.

Application Extract Data Fields

The following table describes the fields used in the Application extract.

Field Name

Description

Candidate ID

Unique ID of the candidate, system generated

Vacancy ID

Unique ID of the project/vacancy, system generated

Vacancy Reference Number

Reference number of the vacancy if used

Vacancy Title

Internal vacancy title, which can be amended at any time. Not the title given in the job advertisement

Department ID

System generated department ID which the candidate has applied to. This can be used in Lookups on other extracts

Department Name

Name of the department referred to in the department ID

Application Status

Shows the status of the candidate's application e.g. Interview 1, Saved, Transferred, Rejected

Application Updated

Last date the application was updated by either the candidate or EasyCruit user e.g. when processing an application (changing the status)

Ranking

Ranking 1, 2 or 3 if provided

Average Rating

Average panel review rating if provided

Reference Check

Based on the dropdown options in EasyCruit e.g. Positive, Negative

Application Date

Date the application was made

Hired Date

Date the application was moved to status 'Hired'

Start Date

Date supplied when a candidate is hired

Rejected Reason

Reason provided for rejection reason based on dropdown available

Application Source

Channel the application was received from

Gender

Candidate's response to this question if asked

Date of Birth

Candidate's response to this question if asked

Internal Categorization

Candidate type e.g. CV candidate, Employee, etc

First Name

Candidate's response to this question if asked

Vacancy Extract Data Fields

The following table describes the fields used in the Vacancy extract.

Field Name

Description

Vacancy ID

Unique ID of the project/ vacancy, system generated

Vacancy Reference Number

Reference number of the vacancy if used

Vacancy Title

Internal vacancy title, which can be amended at any time. Not the title given in the job advertisement

Date Created

Date the vacancy was created in EasyCruit

Date Posted

Earliest date the vacancy was posted from

Date Closed

This is the date the vacancy was closed/completed in EasyCruit, not when it was last posted

Vacancy Status

New and Active/ Expired/ Completed

Project Owner

System unique of the ID of the person assigned when creating the vacancy

Name

Name of the person assigned when creating the vacancy

Current Approval Status

y = approved, n = Not Approved, Pending = requested approval but not yet approved, blank = not requested approval

Approved By

Name of the person who approved the vacancy if approvals are used

Date Approved

Date the vacancy was approved if approvals are used

Department Name

Name of the department the vacancy has been created against. If it has been linked to more than one department, all departments will be listed with a separating character

Department ID

System generated department ID of the department the vacancy has been created against. If it has been linked to more than one department, all departments will be listed with a separating character

Contacts

Name of the contact persons added to the vacancy

Country

Country selected for the vacancy

Region

Regions selected for the vacancy

Project Profile question

Information provided for the vacancy in Project Profile section if question is available for the vacancy.

NB each HR Classification – Project Profile question will be present as a separate column.

NB heading would change based on the title of the question.

 

Posting Extract Data Fields

The following table describes the fields used in the Post extract.

Vacancy Title

Total number of applicants from the channel against the vacancy

Hired Candidates

Total number of hired candidates from the channel against the vacancy

Cost of Publication

Cost of the publication if entered against the channel

First Date Published

The latest 'from' date that the vacancy was posted to the channel

Last Date Published

The latest 'to' date that the vacancy was posted to the channel

Employment Type

Criteria selected when posting the vacancy

Working Days

Criteria selected when posting the vacancy

Working Hours

Criteria selected when posting the vacancy

Position Type

Criteria selected when posting the vacancy

Job Level

Criteria selected when posting the vacancy

Industry Sector

Criteria selected when posting the vacancy

ID of the criteria

Date Registered

Date the candidate first created their login for the candidate career centre

Last Modified

Latest date that the candidate made a change to any of the information within the candidate career centre

Latest date that the candidate logged in to the  candidate career centre

 

Candidate Profile Questions Extract Data Fields

Candidate Profile Questions Extract includes candidate responses to Self Classification – Candidate profile questions and HR Classification – Candidate Profile questions.The following table describes the fields used in the Candidate profile questions extract.
